How to Schedule a Premium Email
Step 1 - Preview your content, send a mail to yourself, edit or simply continue.
We've packaged up your event and it's already to go!! you can send a copy to yourself just to see how it looks. You can also edit the content or sharpen the title to give it an email specific message. Once the email is ready to be sent, simply click continue to select your audience.
Step 2 - Select Your Broadcast Time
Schedule the email to be sent at a future date and time before your event. The timing of your email makes all the difference. Set it to be sent on the best day to reach your audience in time for them to make plans to attend your event.
Step 3 - Select Audience
Set the number of subscribers you'd like to reach. The system will look for the closest subscribers available and will reach out further as needed to reach the size of the audience you have selected. The visual of the map is an attempt to show an estimate of where we will target based on the zip code. It is possible that the system will need to reach out beyond the area shown and beyond the borders of the zip code, especially as you select a larger number of subscribers for the email.
Step 4 - Secure Checkout
In the final step, simply make a payment using a debit or credit card. Your campaign will be scheduled and sent at the scheduled time. We will provide you with open and click-through data as soon as your email is sent.
Step 5 - Measure success after it is sent
You will receive information about opens and clicks as soon as the email is sent. It can take 24-48 hours for all the subscribers to get to their inbox and review their emails, and the data will update in real-time as people open and click on the email.
Enterprise E-mail Options
When your event has a category for a Professional or Enterprise plan, the system looks specifically at the 'occupations' relevant to people you'd like to target to attend your event. Occupation targeting really understands the fact people will travel for business events such as conferences, trade shows and exhibitions but we also appreciate the importance of local business events, and our system will target those users beyond the smaller area around your event.

Email FAQs
Q: Can I edit my email?
A: No. Once an email is scheduled and paid for, there is no option to edit any aspect of that email. Please ensure that all of your information is accurate before you pay for your premium email.
Q: How do I know when my email is going to be/was sent?
A: For any email you have scheduled, when you login at app.evvnt.com and view your events, you will see a button on the event to view to "Email Campaign". Click that button and you will be able to see when your email is going to be sent. If your email has already been sent then you will see the date it was sent and you will see statistics showing the number of opens and clicks related to your email campaign.
Q: How do I reach farther out beyond the area shown?
A: The visual of the map at checkout is an approximation. The system will reach out as far as needed to find the selected number of subscribers. Population density may not be taken into account properly when displaying the radius of the reach based on the number of subscribers. The reach we can promise is based on the number of subscribers selected.
Q: Why is there no option for sending an email for my event?
A: The option to purchase the premium email is only available for physical events where the location has a US zip code. If your event does not have a zip code entered with the event location, then you can edit your event to add that zip code and that should make the email option available. If your event is happening outside the USA, then we do not have an option to send a premium email for your event.
Your event must have a URL or link available for an email to be created. The email has a prominent button for more information and you need to provide a URL for that button for an email to be available for your event. More info about links:Links - Adding links to your event
Q: What demographic are the subscribers?
A: There are a broad range of demographics collected. Evvnt Mail offers targeting by location (zipcode + Radius) and event category at this time. The target zip code will be the zip code used for finding subscribers. If the size of the audience is large enough, then the system will expand the radius of the search and reach into neighboring zip codes to find more subscribers to send the email.
Q: Who are they? When & How long have they been opted in for? Where has the data come from? Is there any targeting in place or just generic local subscribers?
A; "...Our lists consist of information obtained through opt-in online surveys, e-subscriptions, e-registrations and our extensive network of permission-based websites. These sites are owned and/or managed by our team. We also have a data compliance team that ensures that our opt-in language is clear and conspicuous for our consumers to see when signing up for our marketing broadcasts.
Any data obtained is put through a thorough hygiene and validation process for deliverability using multiple 3rd party sources. We then use partner sourcing for data profiling, appending up to 400 available selects or demographic filters for precise targeting of an individual.
We always use best practices in regards to CAN-SPAM compliance. Our team is diligent with maintaining and updating our unsubscribe lists. We have a quality assurance process in our emailing team that verifies that all broadcasts has the correct sending on behalf of as well as the proper opt-out information required. Every record received also has the opt-in date, IP and source for compliance purposes. Our teams follow data security best practices to ensure all of our compliance steps are followed and there are no breaches...."
Q: Average success rate for OPENS? and Average success rate for CLICKS?
A; It is hard to generalize given the potential range of location and category, but Open and Click rates should be in line with industry benchmarks. These metrics will also be influences by the Title / Copy / Images in the email that is sent out - ensuring that users are following email marketing best practices will also help the performance metrics.
Q: Is there any city which converts better? i.e. Boston for us as we have more sites.
We are tracking email sends, opens and clicks - we do not track conversions as this happens on the site/platform that the customer is directing traffic to. Available audiences will vary based on location, urban v non urban locations and event category.
Q: Is there any specific Targeting when sending the email campaign?
Targeting is based on the category of the event and the location. You will have the ability to see the size of the potential audience using the slider in the Audience Selection step of Evvnt Mail interface, which will increase or decrease the radius around the event location. The email program starts in the given zip code and looks for enough subscribers in that area with the given interests. If there are not enough subscribers in that zip code then the program starts to widen the search area into the neighboring zip codes.
Q: How do I send another email?
Our system allows one email to be sent per event. If you create another version of the event with a slightly different title then you can schedule an email for that new event.
